JOB SUMMARY

Candidate will provide comprehensive and detailed administrative support to Two Managers. Position requires extreme detail orientation, great time management skills and must posses a strong team oriented attitude with a willingness to learn new technologies and programs.

REQUIREMENTS

High school diploma and Associates degree preferred. Proficiency with Microsoft Outlook, Word , Excel and Access. Experience with Cognos a plus. Highly organized and work well under pressure/deadlines with the ability to multi task. Must have excellent phone skills and strong team/customer service orientation with excellent inter personal skills.

KEY RESPONSIBILITIES

  • In conjunction with other departments, collection, formatting, analyzing and summarizing information for publication internally and to Corporate.
  • Open/sort daily mail and code invoices to be authorized for payment. Create ADI uploads and send invoices to Tempe for processing, ensuring all invoices are paid on time.
  • New vendor set up, process paperwork and send to Tempe. SOX quarterly follow up included.
  • Manage, prepare and process mileage claims and expense reports received from employees.
  • Scanning invoices once new system is implemented.
  • Banking – Signing off on bank deposit and photocopying and filing all checks.
  • A communication point between WCAP and Franchise group ensuring contracts are received, signed and filed in the correct folder. Ensure accurateness of each contract by working closely with the Marketing dept.
  • Quarterly/Monthly/Weekly reports pulled accurately for review. Including Fuel/Merchandising/New Site/Existing Site Reports
  • Maintaining an access database of all potential sites.
  • Working with Real Estate Director to develop SLAPs, maintaining and following up on New Site binder. Using Cognos to develop SLAP and AFE back up.
  • Monitoring and tracking all expenditures for all Real Estate projects.
  • Contributes to team effort by accomplishing related results as needed.
